Description

Provide support to the FSPHP Annual Education Conference. Key responsibilities include working with those above to prepare the call for abstracts, coordinate guest speaker invitations, registration brochure, exhibitor brochure, and registration processes.  Assist with digital and email marketing content as well as updates to text for electronic and print communications brochures and website content. Works with the FSPHP annual conference project task list & schedule and provides regular updates to FSPHP Executive Director and PPC.  Prepares PPC meeting agenda and minutes. 

Serve as a positive, professional voice and presence for the FSPHP members and leadership.

RESPONSIBILITIES INCLUDE:

1.       Prep Annual Education Conference Exhibitor Brochure, Call for Abstracts, and Registration Brochure for graphic designer:  Coordinate edits to these 3 pieces, the exhibitor booth registration form, call for abstracts and MemberClicks registration forms.  Cross edit all content on conference website as needed. All this content tracks with content on the website too so cross editing & updating occurs.

2.       Program Planning Committee Staff Liaison (meeting is monthly):   Support the Program Planning Committee including preparing the agenda, anticipating items for the agenda, prepare the meeting minutes, and tracking action items.

3.       Coordinate and Track Abstracts & Speaker Materials: Prepare exhibitor and speaker invites and track materials in Excel, and send reminders as needed. 
Exhibitor Tracking: Track exhibitor registrations and ensure all exhibitor benefits are provided according to the exhibitor prospectus.
Meeting Materials:  Assist with the creation of text for signage, meeting attendee badges, and onsite book. Load content, including live polls, on the Whova conference app and text features.
Continuing Education: Assist with preparing the continuing education application process, and ensure content complies with necessary requirements.
Conference evaluation: Prepare attendee evaluation using SurveyMonkey.

Part-time, 15 hours a week on average, June 2024 to June 2025 – will automatically extend until revised.
- estimate of 8-10 hours per week (or 40 hours flexible hours a month) from June to January
- estimate of 15-20 hours per week from February to April 
- estimate of 30 hours a week 4 weeks prior to conference
- Must travel to FSPHP Annual Education Conference (reimbursement by FSPHP per FSPHP travel reimbursement)
- Must have own working laptop/PC, FSPHP to provide software and file storage



Requirements

 3-5 years of meeting planning experience, preferably for a non-profit healthcare membership association, strong proficiency with Microsoft Office including Word, Excel, PowerPoint and Outlook. Prior experience with conference apps preferred i.e. Whova. Experience with Survey Monkey is helpful, and membership database software i.e. MemberClicks, windows file share using ShareFile.
